Meeting minutes from a recording
You can get meeting minutes from a recording by transcribing the audio and using the summary as your draft. Voicence returns the Key points and the Action items with the person responsible, and you review them, rename the speakers, and send a PDF. Tell everyone before you record.
Free to start. For Android and iPhone.
Key points
- The presentation outline was approved.
- The quarterly sales numbers are still missing.
Action items
- Maria: check the numbers by Thursday.
- James: put the slides together.
Step by step
-
Tell everyone and get consent
Say that you are recording and why, before you start. Don't record if anyone objects.
-
Record the meeting
Put your phone in the middle of the table and record in the app. For a meeting that was already recorded, import the file instead.
-
Pick the language and transcribe
Select the language spoken in the meeting and tap transcribe. The text arrives within a few minutes and needs internet.
-
Rename speakers and check the summary
Give each speaker their real name, then read the Key points and Action items against what was actually decided.
-
Export the PDF and send it
Choose summary, transcript, and notes as needed, then share the PDF with the attendees.
Get consent before you record
Recording laws vary by state and by country. In some US states, everyone in the conversation has to agree to be recorded. Many companies also have their own rules about recording internal and client meetings.
The simple approach works everywhere: announce at the start that you are recording to write the minutes, say who will receive them, and ask if anyone objects. Repeat it for people who join late. If the meeting covers confidential or personnel matters, check your company's policy first.
How meeting minutes from a recording come together
The automatic summary maps closely to what minutes need. It is free and comes in the language of the meeting.
With Premium you can choose the Meeting template and a Concise, Balanced, or Detailed length. Concise suits a weekly check-in. Detailed suits a meeting where the reasoning behind a decision matters.
Treat the result as a draft. The summary can miss a decision, attach a task to the wrong person, or get a number wrong. Tap a topic to hear that part of the meeting and confirm it. Use the Notes field for what the audio can't know: the date, the attendee list, who was absent, and the date of the next meeting.
- A short paragraph with the gist: the opening of your minutes
- Key points: what was discussed and decided
- Action items: the tasks, each with the person responsible
- Topics: the agenda as it actually happened, with each topic linked to its part of the audio
Rename the speakers
The transcript separates speakers and labels each line. The app doesn't know anyone's real name, so rename each speaker once and the name shows on their lines.
A quick way to tell who is who: tap a line to hear the voice. Asking everyone to say their name at the start of the meeting makes this much easier. If a line has an error, you can edit the text of that line directly.
Export the PDF and send it
When you build the PDF, you choose what goes in: transcript, summary, notes. For most meetings, the summary plus your notes is what people will read. Add the full transcript when someone may need the exact wording.
You can also copy the summary text and paste it into an email or a chat. Send the minutes soon after the meeting and ask attendees to reply with corrections.
An automatic transcript is not a certified record. If your organization needs formal minutes that are approved or signed, use this as the working draft and follow your usual approval process.
Online meetings
The app records through your phone's microphone. It does not connect to Zoom, Google Meet, or Microsoft Teams, and it does not record phone calls.
You have two options for a video call. Place your phone next to your computer's speaker so it picks up the sound, in a quiet room with the volume up. Or record the meeting with the platform's own recording feature and import the file afterward. The second option usually gives cleaner audio and a better transcript.
Frequently asked questions
Can it transcribe a Zoom or Teams meeting?
Not directly. There is no integration with meeting platforms. Record with your phone near the speaker, or import the meeting recording as an MP4, MP3, or M4A file.
Does it know who is speaking?
It separates the speakers and labels each line. You rename each speaker with the person's real name.
How long can the meeting be?
On the free plan, each audio can be up to 60 minutes. For a longer meeting, record it in parts or use Premium, which allows longer audio per transcription.
What does it cost to transcribe a meeting?
Transcription costs 1 coin per minute of audio. The summary, with key points and action items, doesn't use coins.
Is the meeting audio kept on a server?
Recordings are stored on your phone. When you ask for a transcription, the audio is sent to the server for processing and deleted afterward.
